Reports: Overview

Use the [Reports] tab to generate and access reports in TOMS.

For reports, keep the following important information in mind:

  • Some reports are available for both CAASPP and ELPAC, while others are test specific. Some reports are available for CAASPP users as well as ELPAC users.

Access to reports is determined by your assigned user role. Some reports are only available at the LEA level, while other reports are available at both the LEA and site level. The following links provide instructions on accessing a report in TOMS:

  • LEA CAASPP Reports—Information on each of the LEA reports for the CAASPP, including instructions for downloading (These reports can be accessed only by CAASPP LEA coordinators.)
  • LEA ELPAC Reports—Information on each of the LEA reports for the ELPAC, including instructions for downloading (These reports can be accessed only by ELPAC LEA coordinators.)
  • Site CAASPP Reports—Information on each of the site reports for the CAASPP, including instructions for downloading (Both LEA coordinators and test site coordinators can access site reports. LEA coordinators can select the organization or school for site reports; for test site coordinators, this field is prepopulated with the school’s information.)
  • Site ELPAC Reports—Information on each of the site reports for the ELPAC, including instructions for downloading (Both LEA coordinators and test site coordinators can access site reports. LEA coordinators can select the organization or school for site reports; for test site coordinators, this field is prepopulated with the school’s information.)
  • Initial ELPAC Reports—Information on each of the Initial ELPAC reports, including instructions for downloading (LEA coordinators can select the organization or school for Initial ELPAC reports; for test site coordinators, this field is prepopulated with the school’s information.)
  • Requested Reports—Information on how to retrieve reports that the user has run in the past 30 days

LEA and test site coordinators can access reports in TOMS by selecting the [Reports] navigation tab from the top navigation bar (figure 1).

  • To access an LEA report, select the [Reports] navigation tab from the top navigation bar, and then select the [LEA Reports] action tab.
  • To access a Site report, select the [Reports] navigation tab from the top navigation bar, and then select the [Site Reports] action tab.
  • To access an Initial ELPAC report, select the [Reports] navigation tab from the top navigation bar, and then select the [Initial ELPAC Reports] action tab. ELPAC reports are available only when the user is logged on as an ELPAC test coordinator.
  • To access a requested report, select the [Reports] navigation tab from the top navigation bar, and then select the [Requested Reports] action tab.

How to Request a Report

To request a report in TOMS, select the [Reports] navigation tab from the top navigation bar (figure 2).

  • To request an LEA report, select the [Reports] navigation tab from the top navigation bar; the [LEA Reports] action tab will be displayed.
  • To request a Site report, select the [Reports] navigation tab from the top navigation bar, and then select the [Site Reports] action tab.
  • To request an Initial ELPAC report, select the [Reports] navigation tab from the top navigation bar, and then select the [Initial Reports] action tab.
  • To access a previously requested report, select the [Reports] navigation tab from the top navigation bar, and then select the [Requested Reports] action tab.

Take the following steps to access a specific report:

  • Scroll through the list of available reports or use the Search Report to select the appropriate report; enter the required fields, and then do one of the following:
    • Select the [Request New Report] button. Depending on the size of the file, the download can take several minutes. Note that, for some reports, the Organization field is prepopulated.
    • For other reports, the user must select the [Request New Report] button. A notification email will be sent to the user from ca-assessments@ets.org when the report is ready for download. The email will direct the user to the Requested Reports screen, under the [Reports] navigation tab, to download the report.
